About the role
We're on the hunt for a dedicated and detail-oriented Legal Administration Assistant to join our vibrant Kemps Petersons Legal team in Melbourne! If you're ready for an immediate start in a full-time permanent role, this could be your next career move. Reporting to the Team Leader/Senior Solicitor, you'll play a crucial role in initiating legal proceedings for our Owners Corporation and commercial clients, ensuring accuracy, compliance, and efficiency.
Objectives
- Kickstart Cases: Open new files, request and source documents from clients, and draft confirmation letters and Solicitor Demand Letters.
- Court Coordination: Handle court e-filing, schedule hearing dates for contested matters, and keep track of important deadlines.
- Draft Legal Docs: Prepare various initiating action documents, motions, petitions, and proposed orders across multiple jurisdictions.
- Client & Court Liaison: Respond to client and court inquiries, manage communications and payout requests from debtors/defendants, and calculate debt settlement amounts by reviewing and interpreting Owners Statements of Accounts (Strata) and client invoices (Commercial).
- Communication Pro: Maintain written and verbal communication with clients, defendants, and both internal and external stakeholders.
- Manage Cases: Keep case management on track and within KPIs.
- Legal Research: Research legal issues as directed by the supervising Solicitor.
- Trial Prep: Assist Solicitor in preparing for trials and defended matters.
- Admin Support: Provide administrative assistance as needed.

About you
- Ideally, you have at least 1 year of experience in legal document drafting, debt recovery, data entry, and administrative processes. However, a positive attitude and eagerness to learn can set you apart!
- Client Service Champion: You're known for delivering outstanding client service and possess excellent communication skills, both written and verbal.
- Organised & Efficient: Excellent time management and organisational skills are essential for this fast-paced, high-volume role.
- Tech-Savvy: Proficiency in MS Suite programs is a must.
- Eager Learner: You're enthusiastic about expanding your knowledge and skills across multiple jurisdictions.
- Professional & Compassionate: You handle clients and third parties with professionalism and sensitivity.
- Detail-Oriented: You have a sharp eye for detail and accuracy.
- Team Player: If you aspire to be the "glue" for our team and are a genuinely nice person who’s always willing to step up when needed, we want to hear from you!
