Purpose

The Concierge and Building Services Supervisor supports the Building Manager in overseeing daily operations, ensuring the property is maintained to the highest standards while providing a safe, efficient, and well-presented environment for all occupants and visitors.

 

Please note internally this position is referred to as Building Services Supervisor.

 

Primary Responsibilities

  • Lead the concierge team in delivering exceptional customer service, ensuring a welcoming and professional environment for all residents, guests, and visitors
  • Resolve resident and guest concerns promptly and professionally, ensuring high levels of satisfaction and consistent service standards
  • Build strong, respectful relationships with residents and owners, promoting a sense of community and trust within the building
  • Manage mail and parcel handling processes, ensuring timely receipt, sorting, and delivery while upholding privacy and security protocols
  • Administer key control systems, including the distribution and logging of keys for residents, contractors, and agents, maintaining strict confidentiality and security
  • Oversee car park operations, maintaining daily visitor logs and managing access controls to ensure efficient and secure usage
  • Facilitate clear and accurate shift handovers to maintain operational continuity and ensure all team members are informed of any relevant updates or follow-ups
  • Conduct regular inspections of gardens, grounds, and common areas, reporting and following up on any maintenance or safety issues to uphold building presentation standards
  • Support the Building Manager with administrative tasks including property audits, updating registers, preparing operational reports, and coordinating contractor access
  • Monitor team adherence to safety, security, and emergency procedures, ensuring all staff are appropriately trained and compliance documentation is consistently maintained

 

Skills and Experience

  • Strong verbal and written communication skills, with the ability to effectively engage with stakeholders at all levels
  • Proficiency in Microsoft Office software and familiarity with its applications for daily operations
  • Previous experience in a strata-based environment is desirable, with a solid understanding of related processes
  • Ability to navigate complex stakeholder relationships and environments, demonstrating diplomacy and effective problem-solving
  • Proven experience in coaching, mentoring, and inspiring teams to drive performance and development
  • Strong time management skills, with the ability to multitask and handle competing priorities efficiently
