The Role
We are looking for a Full Time Operations Coordinator to join our state Victorian team. The Urgent Care Clinic (UCC) Operations Coordinator will play a pivotal role in supporting the efficient and effective operation of the Urgent Care Clinics and Urgent Care Services in Victoria and nationally. This position involves ownership and coordination of rostering and invoicing for Urgent Care Clinic General Practitioners (GP Locums), and onboarding of locums across all Urgent care locations within the state. Identifying, participating in and leading key projects to improve the service both locally and nationally is a critical responsibility and provides an exciting opportunity to be a part of a growing service across the country.
The Tasks
- Coordinate rostering and recruitment requirements with input from Regional Managers, Practice Managers, and the Urgent Care team
- Collaborate with relevant stakeholders to establish rostering parameters and preferences
- Design a user-friendly roster template tailored to the specific needs of the UCC and enabling statewide visibility of roster gaps and recruitment needs in the short and long term
- Support implementation of a rostering system across UCCs and UCSs
- Regularly review rostered shifts to ensure adequate coverage and compliance with staffing requirements
- Proactively identify and address any gaps or conflicts in the roster, follow the appropriate escalation pathways for urgent to fill shift cover
- Communicate with GPs to accommodate requests for shift changes or time off
- Utilize feedback mechanisms to gather input on the effectiveness of the roster system
- Implement adjustments to the roster based on observed patterns and feedback
The Successful Candidate
- Ability to develop and maintain efficient roster systems
- Effective communication, collaboration and influencing skills
- Ability to adapt to changing circumstances and problem solve in a fast-paced environment
- Ability to anticipate and effectively address staffing challenges and operational issues
- Proven experience in roster coordination or a related field, preferably within a healthcare setting
- Strong organizational and time-management skills
- Excellent communication and interpersonal skills
- Knowledge of relevant labour laws and regulations
- Ability to adapt quickly to changes and manage priorities effectively
- 5 or more years Practice Management or roster management in a health-related field (desirable)
