About the Role

As Governance & Democracy Coordinator, you will provide administrative and logistical support to Elected Members and the Governance & Democracy team, ensuring smooth day-to-day operations, including:

  • Manage diaries and meeting logistics for Elected Members and the team, including preparing agendas, calendars, and templates.
  • Oversee Council Chamber and Committee Rooms, handling bookings, room set-up, and assisting with presentations.
  • Coordinate and document key governance activities, including citizenship ceremonies and travel arrangements for the team.
  • Support policy and procedural development through research and preparation of documentation.
  • Maintain high standards of record keeping and administration to ensure compliance and transparency.
  • Contribute to continuous improvement of systems and processes within the Governance, Strategy & Compliance group.
  • Build strong relationships with internal teams, external stakeholders, iwi, and community partners.
  • Promote Council’s values of innovation, helpfulness, respect, engagement, and inspiration in all interactions.

What You Will Bring

  • 2+ years’ experience in an executive assistance or similar customer-facing role.
  • Experience in meeting administration and knowledge of statutory procedures.
  • Desirable: Experience working in local government.
  • Intermediate Microsoft Office skills and advanced keyboard proficiency.
  • Excellent oral and written communication skills.
  • Strong organisational skills, attention to detail, and effective time management.
  • Political and business acumen with the ability to adapt to changing priorities.
  • Proven relationship-building skills and the ability to work collaboratively within teams.
  • Commitment to bicultural competence, including a willingness to learn te reo Māori me ōna tikanga.
  • Professionalism, integrity, and a proactive approach to problem-solving.
